Senior Specialist, Congress & Event Management
This is what you will do:
The incumbent plays an important role in planning, organization and execution of educational events as agreed with the German Marketing, Sales, Market Access and Medical teams. In this role, the incumbent takes care of larger internal and external events, in close collaboration with the Lead Event Management. He/she ensures compliance with country legal and regulatory requirements with respect to scientific and educational events in collaboration with legal and compliance.
You will be responsible for:
- Planning and organization of educational events such as congresses, standalone and KOL events as agreed with the German Marketing/Sales, Market Access and Medical teams in close collaboration with the Head of Events and Congresses
- Taking care of larger internal and external events. Also event´s happening in the office when it is +15 people.
- Organizing logistics including management of delegates of 3rd party educational events
- Ensuring compliance with country legal, compliance and regulatory requirements of Alexion´s educational and scientific events
- He/she is, in alignment with the Lead Event Management, the contact to our travel agency (Business/Work travels) and event agencies. Regarding work on travels (Flight and Hotel) the main task is to negotiate the contract, the correct prices and a good service considering our volume of business.
- Managing cross-functional project teams, keeping stakeholders on target with clearly communicated and agreed milestones
- The good collaboration with assistants in other teams is essential
- Developing specific material and communication related to congresses and standalone events as agreed with Marketing/ Sales / Medical and actively participating in the planning of the meeting flow and agenda
- Managing contracts for participants or speakers by liaising with the event initiator (Medical, Sales, Market Access or Marketing), the internal legal department and the external event organization agency
- Autonomously managing vendors, quotes, pitches and vendor contracts
- Accountable for the communication around events within the German organization
- Cooperation with the relevant internal departments such as e.g. Legal, compliance and internal stakeholders in the affiliates and European/ Global Headquarters
- Accountable for monitoring allocated budget for relevant projects. Strong cost and budget control.
- Strong coordination with International and Global required.
- May be asked to perform other functional activities in addition to the above mentioned responsibilities as reasonably required by business needs
You will need to have:
The ideal candidate should demonstrate exceptional organizational abilities, superb interpersonal skills, multitasking skills and excellent time management. He/she should have at least 3 years of experience in a similar role, preferred in the Pharmaceutical Industry.
- Minimum: Bachelor degree, commercial training & education degree or equivalent
- Desired: Master degree
- Minimum 3 years of experience in similar role as event or congress specialist, preferably in the pharmaceutical industry
- Excellent skills in Project Management and organization
- Excellent written and oral communication skills in German & English
- Very good negotiation skills
- Customer service orientation
- Team player with Leadership skills
- Multi-tasking with good time-management
- Acts highly service-oriented, calm and polite in a busy work environment
- Able to handle multiple and changing priorities and deadlines
- Flexibility and ability to adapt to changing conditions

- Should have ability to attend, understand and participate in International meetings conducted in English
